You input operational business data into the application, including product catalogs, item prices, barcode numbers, batch numbers, stock transfer logs, sales receipts, customer credit (Udharo) ledgers, supplier purchase records, payment notes, and expense entries.
C. Technical, Log & Device Data
We automatically collect standard diagnostic telemetry when you interact with our platform, such as Internet Protocol (IP) address, browser type and version, operating system, device identifiers, session timestamps, navigation events, and error diagnostics to prevent system crashes and optimize performance.
D. Voice & Microphone Input (Optional Feature)
When you use our optional AI Voice Sales feature, audio input is captured temporarily to recognize spoken product names and transcribe them into sales bill items. We do not use your voice samples for biometric identification or third-party profiling.
3. How We Use Your Information
We process the information we collect solely for lawful, commercial purposes, including:
- Service Delivery: Enabling you to generate bills, print thermal receipts, calculate discounts, manage stock levels, and organize financial statements.
- Payment & Due Date Reminders: Facilitating customer credit alerts and internal reminder notifications to help maintain healthy cash flow.
- Multi-Branch Synchronization: Maintaining real-time warehouse stock balancing, audit logging, and role-based staff access.
- Customer Support & Onboarding: Responding to help desk requests, troubleshooting technical issues, and providing live software walkthroughs.
- Security & Fraud Prevention: Monitoring unauthorized access, protecting login tokens, and validating active software licensing.
4. Customer Data Ownership & Non-Monetization
Your business data belongs exclusively to you.
PasalKhata does not sell, rent, monetize, or trade your business records, customer customer lists, supplier prices, or financial statements to third-party advertising networks, data brokers, or marketing entities. Your data is used strictly to deliver the features of the software platform.

We apply robust administrative, physical, and technical security safeguards to defend your records:
- Encryption in Transit: All communication between your web browser and our servers is secured using modern TLS/HTTPS protocols.
- Encryption at Rest: Database assets and authentication credentials are encrypted using industry-grade cryptographic standards.
- Automated Backups: Secure, redundant database backups are conducted automatically every 24 hours to prevent catastrophic data loss.
- Granular Role Controls: Business owners can define custom staff permissions, restricting access to sensitive financial reports and stock adjustments.
6. Cookies & Local Storage
We utilize browser Local Storage and essential Session Cookies strictly to maintain user authentication states, remember active branch selections, and preserve UI theme preferences (Light/Dark mode). You can control or disable cookies via your web browser settings.
7. Data Retention & Account Deletion
We retain your business data for the duration of your active subscription and as long as necessary to fulfill legal obligations, resolve disputes, and enforce our agreements. If you decide to terminate your account, you can request full data export and permanent deletion of your business records by contacting our support team. Upon verified request, your database records will be permanently expunged from our active servers within 30 days.
8. Your Rights & Choices
As a registered user, you have the right to:
- Access, review, and modify your profile, shop information, and branch settings at any time from the application settings.
- Export your ledger statements, customer balances, and stock inventory into printable formats or spreadsheets.
- Request clarification on any data processing practices conducted by the platform.
- Opt out of non-essential promotional communications while retaining critical account alerts.
